Maternity Cover (13 Months)

Mon - Fri: 9:00am - 5:00pm


This role has plenty of variety and requires a candidate who is organised, pro-active and capable of multi-tasking.  The Senior Administrator has full accountability for all aspects of the CND office.  You must take responsibility for your actions and be a self-starter. You will the first person people see when arriving to the office, a smart, professional appearance is essential.

Primary duties are Office Management and Recruitment Administration you will be expected to set a high administrative standard for the office and never compromise on quality despite the demands of the role.

 Key responsibilities include, but are not limited to:

  • Build and maintain effective relationships with key contacts within Southgate
  • Reception duties, including greeting visitors, answering incoming calls and scheduling appointments
  • Managing supplier relationships and regularly reviewing to ensure the best deal
  • Pro-actively ensure that the CND environment is kept clean and tidy and liaise with the Cleaner(s) where necessary
  • Liaise with third parties for necessary repairs and ensure office regulations are compiled.
  • Management of CND’s asset register and property agreements e.g. keys & mobile phones
  • Managing CND’s filing systems, Recruitment and Shared drives
  • Organising the office layout and maintaining supplies of stationery and refreshments
  • Managing the CND staff training record
  • Manage the Boardroom meeting calendar and prep Boardroom where necessary

 CND Recruitment Administration:

  • General recruitment admin, CV formatting, scanning and filing as required
  • Operational Support, including ensuring recruitment contract paperwork is countersigned and filed correctly
  • Monitoring of contractor insurances, ensuring that certificates are current and relevant
  • Ensuring everything is coordinated for CND’s new starter’s in conjunction with key CND staff
  • Starters and Leavers – coordinating new starters and ensuring all CND property is returned from leavers
  • Accommodation and travel planning where required e.g. Expos

Essential Skills:

  • At least 12 months’ experience in an Office Administrator role
  • Ability to work on your own initiative
  • Excellent communication, organisational and time management skills
  • Relationship management and good at building rapport
  • Efficient with the ability to prioritise with flexibility and adaptability to changing workloads
  • Numerate and a high standard of literacy
